Travel policy

  • Official proceedings will commence at 13:30 on the Thursday to facilitate travel to the event on the morning itself. No travel/accommodation on Wednesday 5 June 2019 will be reimbursed unless you would need to start your journey before 07:00 on the morning of the event.   • Conference proceedings are due to conclude at 13:00 (lunch served 13:00 – 14:00). Trains departing Birmingham stations before 13:15 will not be permitted to be booked on account. Should you wish to leave the event early in order to travel before this time you will be required to fund your own travel (claims post event will not be possible).

  • Delegates are encouraged to book the best value tickets possible and the agent will be able to provide advice on this at the time of booking.

  • Tickets purchased on the day of travel will no longer be reimbursed.

How to arrange your travel

Train tickets are required to be booked in advance via Ian Allan Travel.

Please provide the following information in order to arrange your travel:
  • Traveller’s name
  • Contact phone number
  • Contact email address
  • Name of LDC
  • Outward and return dates
  • Departure / arrival stations
  • Preferred times of travel out/back
  • Details of any discounted rail cards e.g. young person’s rail card, senior rail card etc

Collecting your tickets

Once the reservation has been confirmed, the tickets will be ready for collection from any station which has a Self-Service Kiosk on site. In order to collect the ticket you would need to have the Collection Reference Number and any card with a magnetic strip on it (the card required does not need to be a bank card, simply any card with a magnetic strip to activate the machine). This will then ask for the Collection Reference and the tickets will be dispensed.

Taxis and station parking

Taxis and parking cannot be booked on account. Where necessary taxis to and from your home to the train station should be booked independently and claimed back via the LDC Conference Treasurer after the event. Expense claims (with receipts) must be submitted within 28 days of the event.

Flights

Those LDC Representatives who find it is more convenient/cost effective to fly to Birmingham should make their own arrangements and seek reimbursement via the LDC Conference Treasurer after the event (within 28 days of the event).
